Poster Contest

Poster submissions are divided between those created by GIS Professionals and students.  Posters will be available for viewing in the Exhibitor Hall throughout the entire conference, beginning Wednesday, April 14 at 4:00 PM.  Conference attendees are asked to vote on their favorite posters with the winning entries being announced at the late afternoon break on the last day of the conference.

Submissions for the Poster Contest will be accepted up to the opening day of the conference.  If you wish to submit, please register on-line at http://www.surveymonkey.com/s/HGCBL2H.
All submissions registered by April 1 will be included in the Conference Program.

Student Volunteers Needed!

The ILGISA Spring Conference Committee is soliciting full time undergraduate and graduate students to help with this year's conference taking place at the I-Hotel & Conference Center on the University of Illinois, Champaign campus.  In exchange for volunteering, students will have the opportunity to attend the General and Technical Sessions, visit the Exhibit Hall, and enjoy the Exhibitor's Reception.   

Student Volunteers will be required to work at least 8 hours throughout the duration of the conference.  No special skills or experience are necessary for most volunteer positions; however, some familiarity with computing platforms, audio/visual equipment, or office equipment can be helpful.

This is a great opportunity to learn more about the geospatial field, meet some of the top names in the industry, and explore job possibilities; you are encouraged to bring your resumé as a special area will be set aside for resumé postings. 

Possible volunteer duties may include assistance with:
• Registration desk.
• Entrance/Access to dining halls.
• Workshops.
• Session moderating.
 
Students will be given specific assignments prior to the conference.  You can volunteer for half day time slot.

Half day Sessions are from 7:00 am - 12:00 pm or 12:00 pm - 5:00 pm.

Volunteers are required to comply with the Conference Volunteer Guidelines as outlined below. Those who do not comply will be asked to relinquish their Conference name badge and volunteer identification and will not be permitted to continue attending this Conference without paying the appropriate registration fee.

Conference Volunteer Guidelines

1. Volunteers must check-in and out with the Conference Coordinator at the Volunteer Desk.

2. Volunteers must be on time and stay at their post for entire time assigned.

3. Volunteers are requested to dress in a professional manner for this Conference. Business casual wear is acceptable. If appearance is deemed inappropriate, they may be asked to leave their assignment for the day. In the event that another assignment for a following day(s) cannot be made and the volunteer time requirements cannot be met, the volunteer may be asked to relinquish their badge and volunteer identification necessitating the payment of registration fee if they wish to continue attending the Conference.

4. It is expected that all volunteers will conduct themselves in a professional manner as they represent ILGISA to Conference attendees.  Chatting with friends, visiting, etc. is discouraged and you will be asked to refrain from doing so.

5. If a conference attendee raises any questions or problems that the volunteer is unable or uncomfortable handling, they should ask the person to accompany them to the Conference Registration desk and ask to speak to an ILGISA staff member for resolution of the matter.

6. All volunteers, regardless of assignment, are asked to act as hosts and assist attendees in any way possible throughout the Conference.

7. If a volunteer does not have an assignment during a particular time slot, they are encouraged to attend the events occurring during that time period to maximize their Conference experience.

Volunteer Task Descriptions


Conference Registration Desk

Volunteers will be asked to distribute conference packets to attendees who are registered in advance. There will be an ILGISA contact at the registration desk and that person will direct volunteers regarding their duties at the Registration Desk.  Volunteers will also direct individuals who have not pre-registered to the registration counter for “day of” registration.

Workshop Sessions
Volunteers are responsible for checking that all audio-visual equipment is functioning and that presenters are comfortable with operating equipment.

Dining Assistance
Volunteers will assist in determining that all entrants have proper lunch ticket for entrance to dining hall for the day.

Session Moderators
Volunteers are responsible for checking that all audio-visual equipment is functioning and that presenters are comfortable with operating equipment.  Volunteers will help presenters’ moderate session presentations during the second day of the conference.  All sessions will follow the printed program schedule and moderators are responsible for maintaining time schedule.

Floater
Volunteers will assist Conference staff wherever needed.

Q. Who is eligible to be a student volunteer?

A. Any full time college student may become a student volunteer. Both undergraduate and graduate students are welcome.
You will need a recommendation from one of your professors as well as a copy of your current class schedule showing a minimum of 12 hours for undergraduate students and 9 hours for graduate students.

Q. When are student volunteers needed?
A. Official conference activities will start on Wednesday, April 14 and last through Thursday, late afternoon, April 15, 2010. Student Volunteers are expected to arrive at the conference on time for their scheduled time-slot.

Q. What do I get by being a student volunteer?
A. The conference provides students with:
• Registration to the conference including technical sessions and presentations
• Access to the exhibit floor
• Access to opening reception
• Meals during conference hours


Q. What don't I get as a student volunteer?
There are some important considerations for you to be aware of.
• Student volunteers are responsible for their travel expenses. In some cases, your school may be able to provide assistance.
• Student volunteers are responsible for their own lodging expenses.


Q. What kinds of work will I do as a volunteer?
There are a wide variety of volunteer tasks and we make our best effort to provide each student volunteer with a variety of duties. Many of the tasks are administrative but because they are often in support of sessions, volunteers have the opportunity to listen to some exciting presentations.  See position descriptions for more information.

Q. Why would I want to volunteer?
Most volunteers are expected to work approximately 4 - 8 hours per day during the conference. The rest of the time is available to attend technical sessions or visit vendor and research exhibits and network with hundreds of people in GIS related fields.

Q. Do I have a say in what work I do as a volunteer?
Not much, but we'll do what we can. There are often fewer volunteers than tasks. Unanticipated tasks can pop up anytime so we ask that volunteers be flexible and willing to help as needed. If you have special skills, we will try to use them.

Q. Do I have to be there for the whole conference to be a volunteer?
No. We realize that other commitments (like school) exist. We hope that students local to the area will be able to be flexible. You will need to be able to devote enough time to work 4 hours per day during the conference.
